The Director of Education and Engagement will be responsible for the strategic development, implementation, and evaluation of our educational and community engagement programs. This role requires a visionary leader with a strong background in education, community outreach, and program management. The ideal candidate will have a proven track record of building and sustaining partnerships, designing innovative educational initiatives, and driving access and engagement across diverse communities.

 

Essential Job Functions:

Strategic Planning and Leadership

    • Develop and execute a comprehensive strategic plan for educational programs, access services, and community engagement initiatives.
    • Lead the Education and Engagement team, providing guidance, mentorship, and support to staff and volunteers.
    • Foster a culture of inclusion, innovation, and excellence in program delivery.

Program Development and Management

    • Oversee the design, implementation, and evaluation of programs, workshops, and events.
    • Ensure programs are aligned with organizational goals, community needs, and industry best practices.
    • Collaborate with internal and external stakeholders to create and maintain high-quality, inclusive and impactful programs.

Community Engagement

    • Build and maintain strong relationships with community organizations, schools, and other key partners.
    • Develop and implement strategies to increase community participation and engagement in Asolo Rep programs.
    • Represent the organization at community events, meetings, and forums to promote our mission and initiatives.

Resource Development and Management

    • Work with the Development staff to identify and pursue funding opportunities, including grants, sponsorships, and partnerships, to support educational and engagement programs.
    • Manage budgets, resources, staff, and contract artists to ensure efficient and effective program delivery.
    • Prepare and present reports on program outcomes, impact, and progress to senior leadership and Board members.
    • Collaborate with the Board of Directors Education and Engagement Committee to leverage their expertise and implement strategic goals.

Marketing and Communication

    • Collaborate with the Marketing team to develop and execute communication strategies that promote educational programs, access services, and community engagement initiatives.
    • Utilize various media channels to enhance visibility and reach of programs.
    • Ensure consistent and effective messaging that aligns with the organization’s mission and values.

 

Qualifications:

  • Bachelor’s degree in Theatre, Education, a related field, or equivalent work experience.
  • Minimum of 5-8 years of experience in theatrical educational program management, community engagement, or a related area.
  • Proven experience in strategic planning, program development, and team leadership.
  • Strong understanding of current educational trends, community needs, and engagement strategies.
  • Excellent communication, interpersonal, and presentation skills.
  • Demonstrated ability to build and maintain partnerships with diverse stakeholders.
  • Experience in grant writing, fundraising, and resource development preferred.

Marketing Campaign Coordinator

Position Summary:

The Marketing Campaign Coordinator is a key position within the marketing and communications department, leading coordinated efforts and lending support to the delivery of innovative work, with an eye to best practices. This role requires someone with strong program-management and editing skills. The Marketing Campaign Coordinator displays enthusiasm for the mission, vision, artistic endeavors, and initiatives.

Essential Job Functions:

  • Project manage campaigns requested by the team, varying in degree of size and scope
  • Develop and own project management standards and procedures
  • Help prioritize marketing requests in line with business priorities and strategic objectives
  • Maintain documentation and continuously optimize project plans within Asana
  • Identify any risks for deliverables and develop actionable plans to mitigate
  • Partner with stakeholders to gather, define and refine any missing requirements
  • Assist in the review of creative briefs and provide feedback on scope, looking for connections to other projects and recommending simplification and integration points
  • Participate and lead reviews to determine the feasibility of deadlines and monitor progress
  • Own and operate the project management system (Asana) providing leadership within the department to adapt and rely on the system

Requirements:

  • Bachelor’s degree or equivalent in the areas of marketing/advertising/public relations/communications
  • 3+ years related experience in marketing or communications; performing arts/live entertainment experience preferred
  • Highly skilled and detailed editor and proofreader; solid understanding of AP Style
  • Thrive in a fast-paced, deadline driven environment with the ability to quickly reprioritize and maintain accuracy

CSR Shift Leader

Essential Job Functions:

  • Assists with the day-to-day operations of the Box Office for all Asolo Rep and FSU Conservatory performances and programs, live and digital.

  • Reports box office activity to Box Office Manager on a regular basis.

  • On assigned dates and/or when requested, opens, closes, and manages the box office daily business, including overseeing Box Office computer systems, and organizing and reconciling daily batch reports and payment receipts.

  • Always maintains a high level of customer service and helps to ensure that Box Office staff members are well informed regarding ticketed events including dates, prices, show descriptions, venues, and discounts as well as Box Office policies and procedures.

  • Communicates daily via email, phone and in person with patrons and negotiates resolutions conforming to Asolo Rep policies and procedures in association with patron concerns and/or problems, as necessary.

  • When necessary, make decisions about issues requiring immediate attention if the Box Office Manager, Assistant Manager or Marketing Director are not present or available.

  • Assists in processing subscription sales for Asolo Rep and FSU Conservatory.

  • Works with the Systems Administrator on any system problems which may occur when the Box Office Manager or Box Office Assistant Manager is not available and reports any problems to the Box Office Manager and Marketing Director.

 

Required Skills:

  • Demonstrates excellent customer service skills.

  • Manages multiple tasks and situations concurrently, makes decisions with confidence and works well under pressure. Demonstrates a positive and professional demeanor with patrons and staff.

Overview:

As a Major Gifts Officer at Asolo Rep, you will play a crucial role in securing more than $1,000,000 annually in funding and support from major donors to sustain and advance the theatre's mission. Reporting to the Director of Development, you will lead the research, cultivation, solicitation, and stewardship of major donors, fostering strong relationships and ensuring their continued engagement with the theatre. This position offers an exciting opportunity to contribute to the growth and success of a vibrant cultural institution.


Key Responsibilities:

Donor Cultivation and Solicitation:

  • Identify, research, and cultivate relationships with prospective major donors who can make significant contributions to the theatre in partnership with executive and development staff and board members.
  • Develop personalized cultivation and engagement plans for each major donor, including individualized proposals and solicitation materials.
  • Lead solicitation efforts, making direct requests for financial support and effectively communicating the impact of donations on the theatre's programs and initiatives.
  • Facilitate annual donor renewal process, follow up, and tracking for their portfolio.
  • Belief and support in donor-centered philanthropic culture

Stewardship and Relationship Management:

  • Ensure timely and meaningful stewardship of major donors, expressing gratitude and providing regular updates on the impact of their contributions.
  • Maintain accurate and detailed records of donor interactions, preferences, and giving history in the donor database.
  • Foster a powerful sense of connection and engagement among major donors with the theatre's artistic and educational programs, events, and initiatives.

Collaboration and Communication:

  • Work collaboratively with the development team, Board members, artistic staff, and other stakeholders to leverage relationships and support fundraising efforts.

  • In collaboration with Development Data Associate, ensure accurate data entry, contact management, donor research, and financial recordkeeping, timely gift acknowledgement and renewal correspondence, using discretion with confidential information.

Strategic Planning and Goal Setting

  • Contribute to the development of the theatre's fundraising goals, strategies, and annual development plan, with a focus on major gifts revenue.
  • Monitor progress towards fundraising targets, tracking key metrics and adjusting strategies as needed to achieve objectives.
  • Stay informed about trends and best practices in major gifts fundraising, incorporating innovative ideas and approaches to enhance effectiveness.

Qualifications:

  • Minimum of 5 years of experience in nonprofit fundraising, with a emphasis on annual and major gifts fundraising required.
  • Demonstrated success in identifying, cultivating, and soliciting individual donors with experience securing gifts of 5- to 6- figures.
  • Excellent communication skills, both written and verbal, with the ability to articulate the theatre's mission and funding priorities persuasively.
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects and priorities effectively.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Proficient with Microsoft Office programs, especially Excel, Word, Teams, OneDrive and PowerPoint.
  • Experience with fundraising CRM/database programs.  Tessitura exp a plus
  • Some evenings, weekends and holiday work will be required.

This position will demonstrate success in grant writing, project management and communications. This position will write proposals to apply for financial grants allocated by government departments, companies, foundations, and trusts. The Development Associate of Grants and Communications will work closely with the Director of Development, the Individual Giving Associate, the Fellowship/Endowment Associate, the Corporate Relations Associate, the Data Associate, the Special Events Manager, community foundation representatives, and at times, members of the board of directors. 

 

Responsibilities include: 

 

 

  • Ensure seamless execution of annual institutional giving plan, which forecasts income from foundations, corporate foundations, and government in support of Asolo Rep’s operations, programs and education initiatives in partnership with Development Director and related staff
  • Write and coordinate funding proposals, follow up correspondence, gift acknowledgements, press releases, interim and final reports, benefit delivery, and invitations to attend funded programs in collaboration with related staff
  • Conduct prospect research to identify potential new funding sources
  • Manage annual grants calendar to ensure compliance with proposal and reporting deadlines
  • Maintain knowledge of a wide variety of foundation and government grant guidelines and identify best fits for funding with Asolo Rep’s mission, activities and special initiatives
  • Develop and nurture relationships with foundation and government representatives in partnership with Development Director and Board
  • Ensure proper recognition on all print and online promotional materials and a/v presentations
  • Assist in preparation of proposal project budgets
  • Track funds received against annual budget income goals
  • Maintain contact information and donor and prospect histories in Tessitura database
  • Manage and coordinate submission of program materials for the Season Program Book, playbills, and season renewal brochures
  • Writes and submits Development related content for Asolo Rep’s monthly newsletter as well as occasional partnership advertisements.
  • Writes and updates thank you letter templates for all giving levels to be sent out by Data Associate.
  • Attend and assist with development events and projects as needed
  • Attend all major donor events, opening nights, and activities. 

 

 

Qualifications:
Candidates should have excellent written and verbal communication skills, and 1-3 years prior experience in not-for-profit fundraising emphasizing grant writing. Experience in arts fundraising or arts management a plus. Requires great attention to detail and deadlines, discretion with confidential information; and facility with Microsoft Word and Excel. Experience with Tessitura a plus. The successful candidate will thrive working in a fast-paced environment with high levels of interaction as well as independent work. Must be flexible in working occasional nights and weekends.

  • Must be detail oriented and able to meet deadlines and work well under pressure.

Minimum Education/Experience:

  • Bachelor’s degree or equivalent in business administration with finance or accounting major.
