Customer Service Representative

Department:  Marketing 

Reports to:  Ticket Services Manager 

Status: Part-time, Seasonal 

Rate: $14/hr

General Summary: Customer Service Representatives provide outstanding customer service to patrons in the Box Office.  Position requires selling single tickets and season subscriptions, working “will call” before performances, and answering patron questions about the theatre, shows, and ticketing policies. 

 

Responsibilities include: 

  • Manage and develop patron relationships with single ticket buyers and subscribers both in person and over the phone. 
  • Answer incoming phone calls to sell tickets and answer questions.   
  • Learn and use ticketing software Tessitura accurately and efficiently.  
  • Upsell and recommend ticket and subscription packages and special promotions. 
  • Assist customers with questions about productions, theatre layout, and seating. 
  • Accurately handle sales with credit cards, checks and cash in a fast-paced environment.  

Qualifications: 

Previous customer service experience and excellent computer skills required.  Theatre and/or box office experience a plus.  Position demands professional etiquette and work ethic, attention to detail, excellent social, verbal and written communication skills. All applicants must be able to work with others, be self-motivated and be able to multi-task in a fast-paced environment. Up to 30 hours per week: some evenings and weekends are required. Business Casual attire.  The position is seasonal beginning September though the following June.

Associate Director of Development

Title: Associate Director of Development

Department: Development

Reports to: Director of Development

Class: Exempt-Full Time

 

This position will demonstrate success in donor relations, gift solicitations, project management and communications for donors at the major gift level of $5,000 or more.  The Associate Director of Development will work closely with the Director of Development, the Foundation/Individual Giving Associate, the Fellowship/Endowment Associate, Special Events Manager, and members of the board development committee.

 

Responsibilities include:

  • Manage stewardship processes for major donors
  • Execute day-to-day administrative responsibilities for major donor activities
  • Represent Asolo Rep at internal and external events when necessary
  • Cultivate and Steward current donors and prospects encouraging ongoing gifts, increased gifts and securing new gifts
  • Facilitate annual major giving donor renewal process, follow up, and tracking
  • Solicit for major gifts independently and as part of a team
  • Maintain, with utmost discretion, confidential information on donor profiles
  • Conduct research and analyze findings on donors and prospects
  • Compile and maintain research of donors and prospects for distribution to key staff and board members at events.
  • Coordinate with Development Data Associate to ensure accurate contact management and financial recordkeeping, timely gift acknowledgment and renewal correspondence
  • Lead tours of the Theatre and other Asolo Rep facilities for current and prospective donors, as well as for outside groups from time to time.
  • Oversee non-Event related mailings and material distributions to major donors
  • Run lists and reports on Tessitura donor management software
  • Maintain major donors’ annual fund support data in Tessitura donor management software
  • Manage communications to donors, including but not limited to: invitations to activities, benefit delivery, and ways to support the Theatre
  • Manage and coordinate submission of program materials for the Season Program Book, playbills, and brochures
  • Attend all major donor events, opening nights, and activities.

 

Qualifications: 

Candidates should have an undergraduate degree and prior experience in not-for-profit fundraising emphasizing individual giving. Experience in arts fundraising or arts management a plus. Requires great attention to detail and deadlines; excellent social, verbal and written communication skills; discretion with confidential information; and facility with Microsoft Word and Excel, online research, and basic design skills. Experience with Tessitura a plus. The successful candidate will thrive working in a fast-paced environment with high levels of interaction as well as independent work. Must be flexible in working long hours, nights and occasional weekends. Salary range: 65-75k

Staff Accountant

Position: Staff Accountant

Department: Business Office

Reports To:  Finance/Human Resource Director

Classification:      Exempt   â€‹  Annual​   mid to upper 50’s

General Summary: Oversees and performs operational accounting.  Reconciles and maintains general ledger accuracy all the way through preparation of both management and GAAP financials. Uses data processing tools to provide analysis of business data to support decision-making.  Prepares audit schedules and assist with the annual audit to ensure accuracy and timely review.

 

Essential Job Functions:

  • Oversees weekly payroll, to include posting to the general ledger.
  • Prepares, processes, and maintains depreciation/amortization schedule.
  • Prepares monthly bank reconciliations
  • Prepares monthly Development income reconciliations.
  • Balances the monthly management financial statements to the general ledger.
  • Prepares journal entries and supporting spread sheets for the month and year-end closings
  • Reconcile select general ledger accounts on a monthly/quarterly/annual basis.
  • Works with the Finance Director to prepare GAAP financials and supporting schedules for the annual audit.
  • Provides custom reporting on business data to assist in decision-making
  • Assist the Finance/Human Resource Director with special projects and reports as requested.

 

Job Requirements:

Knowledge, Skills, and Abilities:

  • Knowledge of GAAP accounting
  • Advanced MS Excel skills including Vlookups and pivot tables preferred 
  • Highly organized, self-motivated and have professional oral and written communications skills; ability to maintain good rapport with management and staff in other departments such as marketing, development etc.
  • Must be detail oriented and able to meet deadlines and work well under pressure.
  • High level of computer skills to including Microsoft Excel, Outlook, Word, and accounting software packages.

 

Minimum Education/Experience Required:

  • Bachelor’s degree in business administration with finance or accounting major.
  • Masters and/or CPA a plus. Previous Non-Profit accounting experience a plus.
  • Three years’ work experience in a professional accounting environment with general ledger responsibilities.
