Board of Directors and Budget

Asolo Rep has a dedicated and generous board of directors that supports the theatre with their wisdom, experience and resources. There are 55-60 board members who significantly fund the theatre through annual donations, ticket sales, special events and capital and endowment support.   

 

Asolo Rep’s budget for 2022-2023  is $11.2MM with annual contributed income at $3.5MM. Asolo Rep’s endowment is currently in excess of $26MM.

DEVELOPMENT DIRECTOR JOB DESCRIPTION

Leadership

The Development Director is a key senior staff member who demonstrates a passionate commitment for establishing and meeting the contributed income goals that will assist the theatre in achieving its mission and objectives. The Development Director designs, manages and implements comprehensive strategies and programs to maximize philanthropic support for the theatre’s priorities and achieve Asolo Rep’s fundraising and engagement goals. 

 

The Development Director coordinates all development functions for the organization, working in close alliance with Asolo Rep leadership and board committees, assembling and mentoring a development staff that strongly supports the fundraising objectives for the annual operational community income and the Capital and Endowment Campaign. A strong team player and strategic thinker with an intense work ethic, the Development Director is a trusted leader of the development team and is well-respected by Asolo Rep Board, staff and supporters. 

 

Key responsibilities

 

Emerging from the COVID-19 pandemic, the Development Director will:

Create and execute a Development Plan that renews and increases support of the annual fund and campaign goals of the theatre.  The plan identifies viable donors, sponsors, grant-makers, in-kind supporters and partners, fundraising events and the short term and long-term strategies for securing the necessary funds to support Asolo Rep and FSU/Asolo Conservatory programs.
 

Build and supervise a high performing team of fundraising professionals. Hire, manage, evaluate, develop, and terminate development staff as needed and as assigned. Actively encourage staff members' professional growth and participation in the life of the Theatre.

Establish departmental and individual annual performance goals, optimize and allocate resources, set strategies for the identification, cultivation and solicitation of each staff member’s donor portfolios, and assess annual performance.

Provide leadership to the Board in their fundraising work, transforming Board members from donors to fundraisers and building teams of development staff and Board members to achieve community income goals. 

Create, monitor and manage an annual development budget. Supervise and approve all expenditures in the department. Ensure staff understands and works within approved budgets and budget policies. Adapt departmental plans and priorities to resource and operational challenges. Address budget variances as they occur; track income and expenses. 

Keep the Managing Director and Producing Artistic Director informed of fundraising trends and progress throughout the season, to ensure accurate and timely reforecasting.

Keep meticulous donor profiles and track donor communications and meetings in Tessitura to support the moves management process and safeguard institutional memory of donor relationships. Personally become familiar with Tessitura, and ensure there is high proficiency with the program in the department. Oversee donor research.

Be an intergenerational staff ambassador through active listening, critical thinking, and data analysis, always making well-informed, non-impulsive decisions.  


Work respectfully and collaboratively with other Asolo Rep senior staff and their teams in all departments, including Artistic, Marketing, Production, Education/Engagement, Finance and Box Office, on a daily basis. Work closely with the Marketing department to create a holistic view of marketing that includes development needs and provides mutual support for both departments.

Serve as staff liaison for several board development committees. Attend monthly meetings and provide reports for Executive and Nominating & Governance committees and the full Board. Work with and support Board members and committees on methodologies, resources, and tools for fundraising efforts, particularly for capital and endowment campaigns and special projects.

Serve as the lead point person on ongoing and future capital and endowment campaigns. Seek new sources of funding to support institutional initiatives. 

 

Maintain personal portfolio of major gift donors and negotiate gift agreements in collaboration with theatre’s legal counsel.

 

Maintain relationships and network with donors and prospects through visits, events, correspondence, and regular calls. Determine and fulfill donor and sponsor benefits throughout the season.

Become familiar and comply with all HR requirements in hiring, supervising and managing staff. Contribute to establishing an institutional culture of respect and ethical behavior. Foster partnership and collaboration internally and externally.

Supervise the preparation of timely, accurate, and relevant proposals, presentations, and other fundraising materials for cultivation, solicitation, and stewardship.  Provide development data for marketing materials, grants and other reports or materials as needed.

Be an advocate for IDEA (Inclusion, Diversity, Equity and Access) work in philanthropy and performing arts structures.  

Inspire engagement of Asolo Rep staff, artists, Board members, and outside supporters through professional, articulate, enthusiastic, and informed leadership. Demonstrate stewardship and serve as an effective ambassador to the local and national community.

Attend at least one performance of every Asolo Rep and FSU/Asolo Conservatory for Actor Training production.

Experience:

  • Minimum seven years of development experience with at least five years in a management/leadership position.
  • Proven success at organizing fundraising programs, meeting and exceeding revenue goals and soliciting and closing major gifts.
  • Proven successful interactions with Boards and a diverse array of community stakeholders.
  • Demonstrated success leading development teams and collaborating with other departments.
  • Excellent computer/technology skills, especially in Outlook, Word and Excel, and preferably in PowerPoint and social media platforms.
  • Experience using a CRM database, preferably Tessitura or similar software.
  • Experience in an arts environment preferred.
  • Knowledge of the Sarasota/Manatee communities is a plus, but not required.

Executive Assistant

Position: Executive Assistant

Reports to: Producing Artistic Director and Managing Director

Status: Non-exempt

 

Essential Job Functions:

  • Provide full administrative support for both Producing Artistic Director and Managing Director to include taking phone calls, writing, and drafting correspondence, taking dictation, monitoring email and postal mail, office organization and file keeping.
  • Manage schedules for both PAD and MD including maintaining public online calendars for each and maintaining a global awareness of the organizational calendar.
  • Serve as communication link between executive leadership and artistic and other department staff.
  • Track, prepare and serve as recorder for Board and Executive Committee meetings.
  • Coordinate travel for PAD and MD including air transportation, car rental, tickets and events, and event registration in collaboration with company management.
  • Track Artistic Department business expense receipts, reimbursements, and ticket requests.
  • Set up space for internal, Guild, and Board meetings in the Large Meeting Room and Annex as needed.  
  • Research and maintain a calendar of local and statewide performance and theatrical events. 
  • Coordinate with other departments to maintain updated contact information for intra-company and board communications.
  • Handle special projects and general departmental support as assigned.
  • Function as an active member of the Artistic team on projects as needed. 

 

Job Requirements

Knowledge, Skills, and Abilities:

  • Highly organized, self-motivated and flexible.
  • Strong computer skills to include Microsoft Outlook, Power Point, Word and Excel. Familiarity across Apple/Mac, Windows and Android operating systems a plus.

Special Events Manager

Title: Special Events Manager

Asolo Rep’s Special Events Manager is responsible for the strategic planning and coordination for all fundraising and Development events; assists and coordinates logistics for other departments’ events; works with FSU to manage outside group events and venue rentals; and serves as the overall point person for all events that take place within the organization.

Essential Job Functions: 

  • Develop, plan, and execute all internal and external events, including: Annual Gala and fundraising events, Opening Night parties, private dinners, corporate nights, donor cultivation events, luncheons and staff/cast parties
  • Plan and execute all efforts for Asolo Rep Adventures, an affinity travel club that plans theatre experiences to foreign and domestic locations.  
  • Manage outside venue rentals and contracts
  • Work with the Director of Development to create an organization-wide event strategy
  • Work with the Director of Development to identify high net-worth donors and prospects and create targeted strategies and events to cultivate these potential donors
  • Work cooperatively across departments to ensure special events are scheduled in accordance with the season production calendar and creative team availability
  • Communicate event dates and information to the local community social calendar editors and charity registers
  • Manage and maintain overall special events budget
  • Directly implement the creative design and theme for all events
  • Coordinate all invitation copy, design and publication
  • Manage and negotiate all vendor contracts, catering, rentals and event talent/entertainment

  • Work with the Marketing department to design and publish all event promotional materials and update and maintain all special event webpages
  • Work with the Public Relations Manager to properly brand and market all events through advertising, social media, and other media outlets
  • Work with the Development Associate, Corporate Partnerships to secure dual corporate/event sponsorship and in-kind donations
  • Closely interact with board members, event chairs/committees and event sponsors
  • Oversee the Special Events team and volunteers – including recruitment, training, and management.  

 Qualifications:

  • 3-5 years of fundraising event planning experience, with demonstrated success managing budgets and meeting fundraising goals
  • Ability to multi-task, problem solve, and be self-disciplined
  • Excellent organizational skills and detail-oriented
  • Strong verbal and written communication skills
  • Extremely polished and professional demeanor
  • Must have computer knowledge of Microsoft Word, Excel, PowerPoint, database software Tessitura (or similar) and event seating/check-in application Social Tables (or similar). Graphic Design and website knowledge a plus
  • Must be able to lift 40+ lbs, stand for long periods of time, drive vehicles.

 

The ideal candidate will have five years of Development and Special Events experience. Preference will be given to candidates who have superior writing skills, an outgoing/friendly personality, ability to manage multiple projects with competing deadlines, exhibit strength under pressure, and are able to work with multiple personality types with varying experience. Preferred skills include fundraising for the arts and experience with the Tessitura database software. Must be flexible in working long, weekend, and nighttime hours.

Marketing and Communications Manager

Position Summary:

The Marketing and Communications Manager is an important part of the marketing and communications department. This position works alongside the Associate Marketing Director and Marketing Director on various marketing initiatives for productions, events and programs consistently looking for ways to grow audiences, build attendance and elevate the profile of Asolo Rep. Additionally, this role takes the lead on managing Asolo Rep’s digital platforms including website, email and social media along with supporting publicity and communication efforts. The Marketing & Communications Manager is a creative and responsive self-starter who displays enthusiasm for Asolo Rep’s mission, vision and programs.

 

Essential Job Functions:

  • Manage campaigns and expenses for assigned projects seeking feedback from the marketing team on strategy; identify new opportunities to promote productions and programs while developing new audiences
  • Assist with the development of strategies and campaigns for single ticket sales, program enrollment and contributions
  • Monitor and maintain Asolo Rep’s website via Showtime, the CarbonHouse management dashboard; proactively identify outdated information and opportunities to enhance the user experience; engage with vendors to find solutions when necessary
  • Maintain a schedule and build a wide range of email marketing communications using WordFly to support campaigns for ticket sales, event RSVPs and program attendance
  • Leverage Google Analytics to drive strategy and regularly report on insights and KPIs that may be useful to organizational strategy
  • Manage Asolo Rep’s Google Grant; structure and monitor campaigns that support the various productions and programs of the organization
  • Manage, create and curate content for social media platforms including Facebook, Instagram and Twitter; maintain an active social media calendar using analytics to drive strategy and engagement setting appropriate KPIs and reporting accordingly; instinctively picks up a camera to capture content
  • Assist Associate Marketing Director with press nights, photo calls, interview requests, press releases, press portal and other publicity activities; proactively looks for opportunities to elevate Asolo Rep on the regional and national stage
  • Assist with the collection of materials for various publications including brochures and show playbills; coordinate production schedules with graphics to ensure timely execution

 

Requirements:

  • Bachelor’s degree or equivalent in the areas of marketing/advertising/public relations/communications
  • 5+ years related experience in marketing or communications; performing arts/live entertainment experience preferred
  • Working knowledge of digital best practices; experience managing social media business accounts, Google Analytics, Google Grants and Google Tag Manager a plus
  • Ability to leverage internal databases and first party data into successful marketing campaigns
  • Demonstrates excellent time management, organizational and project management skills; and the ability to juggle multiple priorities and tasks
  • Outstanding verbal and written communication, and listening skills are required; working knowledge of AP style; public relations experience preferred
  • Strong copywriter with the ability to self-edit; understands the difference between sales, editorial and social media copy and effectively uses these styles of communication
  • Competency in Microsoft Office and project management platforms (SharePoint, Basecamp, Slack, Teams, etc); comfortable working on Windows and iOS devices
  • Familiar with Adobe Creative Cloud programs including Photoshop, Premiere and InDesign
  • Working knowledge of Tessitura or similar ticketing system a plus

AEA Stage Manager

Asolo Repertory Theatre, a LORT B regional theatre in Sarasota Florida is seeking an AEA Stage Manager to take part in our 2022-23 rep season, simultaneously stage managing Chicken & Biscuits by Douglas Lyons and ASMing The Three Musketeers by Ken Ludwig. 

 

Candidates should have experience navigating a rehearsal and production process as both a stage manager and ASM and be comfortable working with a variety of personalities, anticipating and solving problems quickly and efficiently, and tracking show operations with great attention to detail. Strong knowledge of rotating repertory theatre, the AEA LORT rulebook, and IATSE work rules is preferable.

 

The position pays AEA LORT B Rep SM minimum weekly salary. Those interested in this position should submit a cover letter and professional resume. Incomplete submissions may not be considered. The contract runs December 6, 2022 through April 13, 2023.
