SUMMARY: 

The Graphic Designer & Layout Coordinator is a dynamic and creative member of the marketing and communications team who conceptualize, design, and produce advertising and collateral materials to promote theatrical shows while also supporting the institutional marketing needs.  This role alongside the Brand and Design Manager is responsible for ensuring Asolo Rep’s highest quality standards are met and materials creatively and consistently reflect the organization’s brand identity.  The ability to positively receive and process feedback is essential for this position. A successful candidate will have an appreciation for the performing arts and enthusiastically support the artistic vision and mission of Asolo Rep.

ESSENTIAL JOB FUNCTIONS:

    • Assist in design and execution of customized promotional, institutional, and educational materials for marketing, development, artistic, education and outreach teams
    • Lead layout developer of print publications.
    • Create campaign supporting graphics including print ads, digital banners, posters, front-of-house assets, collateral, postcards, etc.
    • Proactively identify opportunities to approach materials in new and dynamic ways while maintaining the brand guidelines and overall institutional aesthetic
    • Collaborate with colleagues to brainstorm, share resources and ensure consistency across materials and branding standards
    • Read show scripts and actively participate in discussions with producing creative team members to better understand key themes in the work while also sourcing inspiration for design concepts
    • Work with established vendors, or source new vendors, to ensure jobs are completed accurately, on schedule and on budget
    • Advise on materials and best practices to deliver the highest quality result
    • Interface with a wide range of Asolo Rep staff and producing artist team members to clarify needs and design direction

QUALIFICATIONS:

    • 3+ years of professional graphic design experience; in-house design experience helpful; theatrical and/or entertainment experience strongly preferred
    • Strong ability to interpret a vision into design; enjoys designing for a wide range of styles while leaning on a solid design foundation in print, digital, branding, typography and catalogue or program production
    • Strong knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator); competency in Microsoft Office and project management platforms (Ansana, Teams, etc.)
    • Strong layout and photo editing skills for touch-up, color correction and cropping
    • Impeccable attention to detail
    • Excellent communication, organizational and project management skills with the ability to process constructive feedback, work collaboratively and juggle multiple priorities under tight deadlines
    • Copywriting experience is helpful
    • Strong understanding of industry and design best practices; stays current with emerging trends and publishing methods
    • Dedicated and responsive team player who enthusiastically supports the artistic vision and the performing arts
    • Some evening and weekend hours may be necessary

Video and Multimedia Specialist

Reports to:         Marketing & Communications Director
Status:                 Exempt, Full Time, Annual 50-55K range

Position Summary:

The Video and Multimedia Specialist is responsible for helping to tell the visual story of Asolo Rep. As a dynamic member of the marketing and communications department, the Video and Multimedia Specialist is a skilled videographer, editor, motion graphics artist and photographer who understands how to visually tell a story, from concept through execution. This team member will conceptualize, design and produce materials to promote theatrical events and support the institutional needs of other departments. They instinctually understand when a video or photo opportunity may present itself and takes the initiative to capture the moment for a current or possible future project. The Video and Multimedia Specialist displays enthusiasm for the mission, vision, artistic endeavors, programs and initiatives of Asolo Rep.

Essential Job Functions:

  • House Videographer and Photographer for productions
  • Drive ticket sales through video and photo projects delivered through a range of platforms including broadcast, website, video sharing, streaming, digital publishing, e-newsletters, social media and print
  • Identify opportunities to enhance campaigns and communications through video and photography
  • Create and edit Asolo Rep commercials and promotional videos adhering to all broadcast and institutional brand guidelines
  • Sources or create materials (video, VO, music beds, graphics, etc.) to conceptualize, create and deliver promotional support for theatrical performances
  • Create, edit and manage requests for graphic and video content for lobby, season announcement, special events and other presentations throughout the season
  • Cut b-roll for distribution to television stations with tight turnarounds
  • Work with vendors and partners to book and manage b-roll and multi-camera shoots of full productions during previews; hire and manage freelancers based on the business needs
  • Collect and maintain video archives with the ability to make updates for company and partner use.  Archival oversite.
  • Collaborate with marketing and inter-departmental staffs to deliver professional video packages that support and enhance the vision and objectives of the organization; act independently and responsibility to carry out all plans, tasks and areas of responsibility
  • Anticipate and proactively reach out to internal departments to identify needs, advise on best practices, manage video project workflow and ensure projects are completed on time
  • Digital marquee planning and execution including digital lobby displays.
  • Maintain multimedia equipment
  • Attend and actively participate in departmental and inter-departmental meetings providing insight and recommendations as appropriate

Requirements:

  • Bachelor’s degree or equivalent in the areas of film production, photography, advertising, or communications
  • 3+ years related experience; performing arts/live entertainment experience preferred
  • Proficient in Adobe Creative Suite, Final Cut Pro and photo editing software
  • Strong knowledge of video sharing (YouTube, Vimeo), digital publishing (Issuu) and streaming (StreamYard, YouTube Live, Zoom) platforms
  • Strong understanding of industry and design best practices; stays current with emerging trends

Resident Production Stage Manager

Asolo Repertory Theatre Sarasota, Florida

Asolo Rep (LORT B) Florida’s premier professional theatre and one of the most important cultural forces in the Southeastern U.S is seeking to fill its Resident Production Stage Manager Position beginning no later than August of 2024 with the potential to ASM under current PSM in April. This is a full-time year-round staff position which requires a candidate to be a resident of the community. Relocation assistance may be available

General Summary: The Resident PSM is responsible for the proper scheduling, coordination and implementation of all theatrical activities taking place in Asolo Rep’s rehearsal halls and stages.  As a key member of the Production Staff the PSM contributes to the overall culture of the organization, contributing to the effective operations of the theatre.

Essential Functions:

  • Serve as SM for productions within the season as determined by the Artistic Director and Production Manager, including musicals and plays in the rotating repertory season.
  • Ensure that the rules of all rehearsal schedules, performances etc.  as set forth in the LORT AEA Agreement are adhered to.
  • Day-to-day management of SM staff.
  • Prepare for and be present at all rehearsals and performances of assigned productions.
  • Call, schedule and coordinate all rehearsals, note sessions and any other calls.
  • Write and distribute daily rehearsal and performance reports detailing the events and needs of the day to each production department and key administrative staff.
  • Schedule and attend meetings with Production department heads about show-specific needs.
  • Be present on the deck or in communication from the booth with all backstage areas during all assigned technical rehearsals & performances and call the cues of assigned production.
  • Assemble and maintain the production script for the actual technical and artistic operation of the production.   File the production script securely with the theatre.
  • Maintain the artistic intentions of the director and the theatre after opening to the best of their ability, which includes giving notes and calling rehearsals when necessary.
  • Ensure that understudies are rehearsed and prepared.  In the event of an understudy going on, schedule and run a put-in rehearsal for the understudy and coordinate with production and FOH to ensure that the transition is safe and smooth and that all needs are met.
  • Consult with Education, Marketing, Development, & Artistic Administration on guest artists ‘(actors, directors, choreographers, and musicians) involvement in events, interviews, and special appearances.  Assist in planning and executing events that include live performances from acting company members.
  • Maintain responsibility for other duties as outlined in the Actors’ Equity Association Rule Book.
  • Collaborate with Asolo Rep's Inclusion, Diversity, Equity, and Access Team to help implement and propel the work of the Team, assist in moving the organization forward, creating a more inclusive, intentionally anti-racist culture.
  • Serve as SM mentor for fall Educational tour.
    • Attend the majrity of rehearsals, tech, and first performance(s) on the road to provide guidance and support to SM Apprentice on the tour. 
  • Collaborate with the Production Manager regarding the creation/upkeep of the season production calendar.  Assist in keeping the online production calendar up to date.
  • Assist Casting Associate and Director of Conservatory with understudy casting.
    • Prvide insight and logistics about how understudies will be rehearsed and integrated into performances if called upon to go on.
    • Schedule understudy rehearsals (in cmmunication with FSU).
  • Collaborate with General Management and the music director (when applicable) to schedule and staff band rehearsals.
  • Consult with Production & General Management with regards to staffing the SM department, including determining stage management tracks, and identifying potential hires.
  • Responsible for all on-boarding of new SM’s and SM Apprentices, including building tour & introductions to key staff, key & alarm code distribution, introduction to petty cash system, and ensuring access to computers, printers, copiers.
  • Supervise stage management staff and submit all overtime payments and other payments required by the LORT-AEA CBA.
  • Provide support to stage management staff throughout the season.
  • Order, maintain supplies and ensure safe and sanitary working conditions for all rehearsal spaces.
  • Attend bi-weekly production department meetings.
  • Seasonal updates to SM handbook.

 

Job Requirements -Knowledge, Skills, and Abilities:

  • Ability to lead, motivate and communicate with directors, designers, actors, production team and management. 
  • Strong working knowledge of the artistic and technical aspects of production.
  • Strong organizational, time management, and interpersonal skills.
  • Strong working knowledge of the application of the LORT-AEA Collective Bargaining Agreement.
  • Ability to anticipate problems and solve them creatively and in a timely manner.
  • Sufficient computer skills for scheduling, calendaring, and reporting.
  • Member in good standing of Actors Equity Association.
  • 3- 5 years prior Stage Management experience
  • Prior LORT experience is encouraged
  • Hours vary with the production calendar and show assignments. Work shifts include afternoon and evening hours, weekend hours.

Assistant Box Office Manager

Positions Supervised: Customer Service Representatives

Status: Full Time, Yearly, non- exempt – Hourly rate $20-$22

Essential Job Functions:

  • Assists with the day-to-day operations of the Box Office for all Asolo Rep and FSU Conservatory performances and programs, live and digital.
  • Reports box office activity to Box Office Manager on a regular basis using Tessitura software.
  • On assigned dates and/or when requested, opens, closes, and manages the Box Office daily business, including overseeing Box Office computer systems, and organizing and reconciling daily batch reports and payment receipts.
  • Supervises the Box Office staff as assigned (particularly during shows), ensuring all box office operations proceed efficiently, and reports any irregularities to the Box Office Manager. Assists with training staff, as necessary.
  • Always maintains a high level of customer service and helps to ensure that Box Office staff members are well informed regarding ticketed events including dates, prices, show descriptions, venues, and discounts as well as Box Office policies and procedures.
  • Communicates daily via email, phone and in person with patrons and negotiates resolutions conforming to Asolo Rep policies and procedures in association with patron concerns and/or problems, as necessary.
  • When necessary, make decisions about issues requiring immediate attention if the Ticket Services Manager and/or Marketing Director are not present or available.
  • Assists in processing subscription sales for Asolo Rep and FSU Conservatory.
  • Works with the Systems Administrator (IT) on any system problems in the absence of Ticket Services Manager.
  • Supports Education through Tessitura, including registration.

 

Required Skills:

  • Minimum 1-2 years box office experience.
  • Management or supervisor experience preferred
  • Demonstrates excellent customer service skills.
  • Manages multiple tasks and situations concurrently, makes decisions with confidence and works well under pressure. Demonstrates a positive and professional demeanor with patrons and staff.
  • Thorough knowledge of and skill with Microsoft Office. Tessitura or other ticketing software experience is preferred.
  • Capable of lifting and carrying 25 lbs.

 

Additional Information:

  • Position is 40 hours per week; Day, evening and weekend hours required except for dark performance days; occasional morning performances.
