Position: Special Events Assistant

Reports to: Special Events Manager

Class: Non-Exempt; Full-Time; Hourly

General Summary:
Asolo Repertory Theatre, Florida’s premiere professional theatre located in Sarasota, FL seeks an assistant to the Manager of Special Events. This position is responsible for helping to plan and coordinate the theatre’s annual fundraising and special events. Events include: Annual Gala, Starry Night Dinner Series, Men Who Cook, Director’s Take Luncheon, Costume Designer Brunches, Opening Night parties, corporate events, cultivation cocktail parties, luncheons, staff/cast parties and more.

Essential Job Functions:

  • Administration, coordination and oversight of event/venue set-up and strike, catering, equipment arrangements (including audio-visual, permits, entertainment, security, parking)
  • Attend committee meetings and take minutes as needed.
  • Create meeting agendas and event schedules.
  • Solicit items for silent/live auction and raffles and in-kind donations.
  • Track RSVPs, process payments, and generate acknowledgement letters.
  • Maintain information about event attendees, sponsors, in-kind donors in Tessitura.
  • Generate materials related to registration/check-in (guest list, name tags, escort cards)
  • Assist with the development of all event-related promotional materials including invitations, programs, signage, auction catalogs, tribute books (collecting logos, photos, bios etc)
  • Execute all invitation mailings and e-blasts
  • Optimize, maintain and analyze the Special Events department’s social media platforms (Facebook, Twitter and Instagram) and website pages.
  • Coordinate the preparation of all post-event correspondence including thank you notes to sponsors, attendees, donors, volunteers and committee members.
  • Closely interact with a spectrum of individuals including: internal staff, vendors, caterers, volunteers, prospects, donors, committee members, and Board Members.
  • Use discretion with confidential information.
  • Any other duties as required by the Special Events Manager.

Qualifications:

  • College degree in a related field with high academic achievement.
  • Recent experience in providing administrative support to professional staff.
  • Excellent organizational skills; commitment to accuracy and attention to detail.
  • Strong verbal and written communication skills.
  • Extremely polished and professional demeanor.
  • Ability to plan, prioritize multiple projects/duties when faced with interruptions, fluctuating workload, and conflicting deadlines, and complete them in a timely manner.
  • Ability to problem solve; be self-disciplined and work independently .
  • Ability to remain calm under pressure with a positive attitude.
  • Pursuing a future career in special events.
  • Proficiency using the Internet, Microsoft Office (Word, PowerPoint, and Excel) and Tessitura database. Knowledge of design software, i.e. Adobe InDesign, Photoshop, and Illustrator a plus.
  • Access to a car as frequent local travel is required.
  • Ability to lift at least 25 pounds.
  • Must be flexible in working long hours, nights and weekends.


Pay is commensurate with experience. This position is eligible to participate in employee insurances, paid time off, and pension plan. This position begins August 8, 2016.

Position: Ticket Services Manager

Reports to: Marketing Director

Status: Exempt, full time, salaried

Positions Supervised: Seasonal Assistant Ticket Services Managers and Ticket Services Representatives

General Summary:
Provide management and leadership to ensure smooth operation of daily Ticket Services activities with the highest level of professionalism and personalized customer service to Asolo Rep patrons. Work to maximize ticket sales, increase and maintain customer loyalty, perform financial reporting functions and perform data analysis using Tessitura Software platform.

Essential Job Functions:

  • Demonstrate excellent customer service skills, respond promptly to customer inquiries and requests, and train all Box Office and Call Center personnel in customer service standards.
  • Hire, train and supervise all ticket office staff, making sure that staff is fully trained in handling customer issues and explaining policies regarding ticket sales.
  • Work directly in Tessitura platform to set up all events including single tickets, subscriptions, discounts, dynamic pricing, etc.
  • Creatively assess ticketing needs with a focus on accurate reporting of patron data. Recommend appropriate solutions and policies based on customer needs and desires.
  • Ensure that Box Office personnel are informed of current sales and promotions, and policies regarding payment and exchanges.
  • Attend staff meetings, marketing meetings and other meetings as required.
  • Coordinate special ticketed events, opening nights, and other ticketing requests as needed.


Requirements:

  • High school diploma or equivalent is required; Bachelor’s degree preferred.
  • 3-5 years related experience in Ticket Services and Database Management. Experience with Tessitura system is strongly preferred.
  • Must be able to work independently and manage, train, and motivate others.
  • Proven record of outstanding customer service.
  • Must be able to successfully handle multiple priorities in sometimes high stress situations.
  • Excellent verbal and written communication and listening skills are required.
  • Competency in the use of Microsoft Excel, Word, and Outlook.
  • Position requires the ability to accommodate a flexible schedule, including evenings, weekends, and holidays, as well as being able to perform in a fast-paced, dynamic work environment.

Title: Directing Fellow

Asolo Repertory Theatre seeks a Directing Fellow to serve as assistant director on its productions of All The Way, Disgraced, and a third main-stage show to be determined. The Fellowship begins November 30, 2015 and ends April 10, 2016. Primary duties include assisting the directors with all day to day rehearsal and performance responsibilities. Other projects include partnering with stage management to facilitate understudy rehearsals, collaborating with the Education Department on the creation and execution of public programming for all productions, participating in events for the theatre’s cross-cultural IllumiNation Series, and assisting with the annual Unplugged New Play Festival. Candidates for the position must have an MA/MFA in directing. Transportation to/from Sarasota, housing, use of a vehicle, and stipend provided.
